Dear Students,
We would like to inform you about the steps to be followed by the students selected for Erasmus+ study and traineeship mobility, as announced in the Final Erasmus Student Status List available at the link below:
Erasmus Office
A. For Students Selected for Study Mobility:
- University Preference: All selected students, including main and reserve candidates, must contact their department coordinator to determine their preferred host university. Your coordinator must inform our office about your choice via email.
- Nomination Process: Once approved, we will nominate you to the host institution. After your nomination is accepted, you must complete your application in accordance with the host university's procedures.
- Acceptance Letter & Learning Agreement (LA):
- You are required to submit your acceptance letter and your Learning Agreement, fully signed by all parties, to our office.
- Please ensure that all dates in the LA are written in the format of day/month/year.
- Course selection should be made in coordination with your department and the LA must be properly signed.
- University Executive Board (UEB) Approval: Once we receive your documents, a letter will be sent to your department for the UEB decision. After the approval, a barcode-stamped visa support letter will be issued and made available via Turna Portal. You will use this document in your visa application.
- Visa & Grant Agreement:
- Whether you are a grant holder or a zero-grant participant, you must inform our office via email before making a visa appointment.
- Please make sure to check the latest visa procedures of your destination country via the official websites of their embassies/consulates.
- Once you receive your visa, submit it to us. Your grant agreement will then be prepared, and your Erasmus+ grant will be transferred accordingly.
- Students who wish to participate without receiving a grant (zero-grant students) may follow the same procedure and benefit from the mobility, provided that it is within the quota.
B. For Students Selected for Traineeship Mobility:
- Invitation Letter & LAT Document:
- Your invitation letter and Learning Agreement for Traineeship (LAT) must include dates in the day/month/year format.
- The duration of your mobility must be at least 60 days. It may be longer if it does not overlap with the academic calendar; however, the grant will be calculated for a maximum of 60 days.
- The LAT must be signed by you, the host organization, and your department coordinator.
- UEB Approval & Visa Support Letter: Once you submit the invitation letter and the signed LAT to our office, we will request a UEB decision from your department. Upon approval, a barcode-stamped visa support letter will be issued via Turna Portal for your visa application.
- Visa & Grant Agreement: After obtaining your visa, send it to us. Your grant agreement will then be prepared, and your Erasmus+ grant will be transferred.
- Students who wish to participate without receiving a grant (zero-grant students) may follow the same process and still benefit from the mobility
- Whether you are a grant holder or a zero-grant participant, you must inform our office via email before making a visa appointment.
For Students with a Green Passport (Special Passport): If you hold a green passport, you can proceed directly to the grant agreement stage after UEB approval. Please make sure to inform us if this applies to you.
Should you have any questions during any step of the process, please do not hesitate to contact our office. We wish you a successful and enriching Erasmus+ experience.
